StratusFAX accounts are able to be managed by Office Managers and SpectrumVoIP Support. At any point you are free to reach out to support for assistant (support@spectrumvoip.com, 469-429-2500)
If a number is pointed to a specific user, then that user will be able to manage certain aspects of the faxes that are sent to them only.
Add Fax Number
If the fax numbers are not already added to your account, you can add them.
Note
StratusFAX is a paid service through SpectrumVoIP. In order to be able to add fax numbers, you must be paying for the StratusFAX service.
Navigate to Inventory → Fax Accounts
Under this sub-tab, there should be an Add Fax Number button. Click it to make the Fax Set Up window appear.
Fax Settings
Note
All settings except the phone number itself can be modified at any time by clicking on the edit button after the number has been added.
Phone Number
In the pop up window, select the fax number from the list of Available Phone Numbers. The numbers shown will be those that are listed under Inventory → Phone Hardware section that are set to a treatment of “Available Number”
Primary User
This is the Primary Owner of the fax number.
- For email options, the email address(es) under this user's profile will be used to identify faxes for inbound and outbound.
- For portal options, this user will be able to view inbound and outbound faxes when they are logged in to the Stratus Portal
Number Sharing
Number sharing allows other users to use this fax number for Outbound faxes sent through the portal. When the a number sharing user attempts to send a fax through the portal, they will see this number as an option for caller id. However, they will not receive inbound faxes to this number. Outbound faxing through the portal only.
Number sharing by specific “Users” is limited to a max of 25 users. Additional users can be added using the Green Plus Icon.
Enable Methods
These methods can be enabled or disabled depending on the user's desired method of sending faxes.
- Email - Allows fax to be sent by sending an email to @fax.services.com
- Portal - Allows faxes to be sent by the Primary User's Account via the Portal
- ATA - Allows an ATA (Analog Telephone Adapter) to be connected to a physical fax machine
Current “BUG”
If you select the ATA option under “Enable Methods”, then it will show the ATA option under “Inbound Fax Handling” with the ATA option automatically checked.
Unchecking the ATA option under “Enable Methods” while not unchecking the ATA option under “Inbound Fax Handling” will cause an error when attempting to Add the Fax Number because it still thinks the ATA option is checked under “Inbound Fax Handling” even though it is not being shown to the end user.
Inbound Fax Handling
These methods can be enabled or disabled depending on the user's desired method of receiving faxes.
- Email w/ Attachment - Sends an email to the primary user's email address that is on their profile with the inbound fax attached.
- Email w/o Attachment - Sends an email to the primary user's email address that is on their profile without the inbound fax attached. There will be a link to log into t
- Portal - Collect faxes and make them viewable on the Stratus Portal
- ATA - Sends inbound faxes to the ATA for connection to a physical fax machine.
Device Type and Serial Number
If ATA is selected as enabled, then select the appropriate device Type from the drop down menu and enter in the serial number of the device.
Delivery Notifications
- Email - Send Email notification to the primary user's email address that is on their profile on Successful Outbound Fax
- ATA - Sends the ATA a notification to the Fax Machine upon Successful Outbound Fax
Failure Notifications
- Email - Send Email notification to the primary user's email address that is on their profile on Failure of Outbound Fax
- ATA - Sends the ATA a notification to the Fax Machine upon Successful Outbound Fax
