This guide will be describe how to completely change the name on an extension as well as how it will appear on other extensions. Please only change the fields listed on each portion to avoid undesirable effects. Any places where a name seems like it needs to changed will change as the guide progresses.
We will be changing extension 8219101 named "Test 1" to "NAME CHANGE"
First, go to Features --> Telephone lines.
Your screen will now look similar to the image below. We will be changing 8219101's name from "Test 1" to "NAME CHANGE". Click where text that says 8219101, as it is a hyperlink to the page we will need to make changes on.
There are only two places on this page that changes need to take place; Description and Caller Name on Internal Calls.
Change them to the new name then scroll to the bottom of the page and click Save. Next click Return to the list of telephone lines:
Now we will need to change the Owner name for the extension. The actual username for Owner should be the full 7 digit extension but can vary. First go back into 8219101's telephone page:
Then click the green arrow next to the drop down for Owner. This will take you to the correct owner for the extension that needs to be changed.
There are two places that will need to change on this page with a possible third place if you would like the extension owner to be notified by email of voicemail messages. For voicemail notifications, please put the email address for the person that will be notified of any incoming voicemails as shown below. The other required lines that must be changed are First name and Last Name.
After the First name and Last name as well as the optional Email address click Save.
The next place that needs to be changed is the mailbox name. To reach the mailbox go to Features --> Mailboxes
Then select the 7 digit extension where the name change needs to take place.
The only line item that needs to be changed is the Description box at the top:
If your account does not have speed dials this will be the last step! Congratulations!
If your account does have speed dials, there is only one final step to complete to be sure the extension has the correct name on other phones. First go to Features --> Speed dials
Next select the number that has the 7 digit number for the extension the name change is taking place for. In this test account, it will be 02, but speed dial numbers can be in any order so it is best to look for the 7 digit extension which in this case is 8219101.
Next, change the Description and Force caller name oin calls from this destination to the desired name, in this case from "Test 1" to "NAME CHANGE" then press Save
That is the final step. The phones will check in at 11:59PM or after a restart of the phone and the name will change on the phone as well as other phones on the account.
